1. Acceptance of Terms

By accessing or using the Romow PDF Tools website at romow.com ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms in full, you must not use our Service.

These Terms apply to all visitors, registered users, and anyone who accesses or uses the Service in any way. Your continued use of the Service after any modifications to these Terms constitutes your acceptance of the revised Terms.

2. Description of Services

Romow PDF Tools provides a suite of browser-based PDF processing utilities, including but not limited to:

  • Redact PDF — Permanently remove sensitive text, patterns, or entire pages
  • Add Watermark — Stamp PDF documents with text or image watermarks
  • Remove Watermark — Strip color-based or annotation watermarks from PDFs
  • Compress PDF — Reduce PDF file size while maintaining readability
  • PDF to Word — Convert PDF documents to editable Word (.docx) format
  • OCR Extract Text — Extract text from scanned or image-based PDFs
  • Merge PDFs — Combine multiple PDF files into one
  • Split PDF — Separate a PDF into individual pages or page ranges
  • Sign PDF — Place a digital signature on PDF documents

We reserve the right to modify, suspend, or discontinue any part of the Service at any time with or without notice.

3. Eligibility

You must be at least 13 years of age to use the Service. By using the Service, you represent and warrant that you meet this age requirement. If you are using the Service on behalf of a company or other legal entity, you represent that you have authority to bind that entity to these Terms.

4. User Accounts

Certain features of the Service require you to register for an account. When you create an account, you agree to:

  • Provide accurate, current, and complete information
  • Maintain and promptly update your account information
  • Keep your password secure and confidential
  • Notify us immediately at sales@romow.com of any unauthorised use of your account
  • Accept responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that violate these Terms or that we reasonably suspect to be fraudulent, abusive, or harmful to the Service or other users.

5. Acceptable Use Policy

You agree to use the Service only for lawful purposes and in a manner that does not infringe the rights of others. You must not use the Service to:

  • Upload, process, or distribute any content that is unlawful, defamatory, obscene, fraudulent, or harmful
  • Infringe any third-party intellectual property rights, including copyright, trademark, or trade secret
  • Upload files containing malware, viruses, or other malicious code
  • Attempt to gain unauthorised access to any part of the Service or its related systems
  • Use the Service to process documents for the purpose of facilitating identity theft, fraud, or any other illegal activity
  • Engage in automated scraping, data mining, or systematic bulk downloading without our written consent
  • Resell, sublicense, or commercially exploit the Service without our explicit written permission
  • Impersonate any person, entity, or Romow staff
  • Interfere with the integrity or performance of the Service
⚠️ Important: You are solely responsible for ensuring that you have the legal right to process any document you upload to our Service. Do not upload documents that belong to others without their explicit authorisation.

6. Your Files and Data

Ownership: You retain full ownership of all files you upload to Romow. We claim no ownership over your documents or their contents.

Processing: Your files are processed solely for the purpose of delivering the requested service. We do not read, analyse, share, or monetise the content of your documents.

Automatic Deletion: All uploaded and processed files are automatically and permanently deleted from our servers within 24 hours of upload. We do not maintain backups of user files beyond this window.

No Guarantee of Accuracy: While we strive to deliver accurate results, the Service's output — particularly for OCR extraction, conversion, and redaction — may not be 100% accurate. You are responsible for reviewing all output before relying on it for any purpose.

Security Notice: Despite our best efforts to protect your files during transit and processing, no internet-based transmission is 100% secure. Do not upload highly classified or legally privileged documents if you are subject to strict regulatory requirements around data transmission.

7. Intellectual Property

The Romow brand, website design, logo, software, and all content produced by Romow (excluding your uploaded files) are the intellectual property of Romow and are protected by applicable copyright, trademark, and other intellectual property laws.

You may not copy, reproduce, distribute, or create derivative works from any Romow content without our prior written consent. Nothing in these Terms grants you any right or licence to use our trademarks, logos, or brand assets.

8. Payments and Refunds

Pricing: Current pricing is displayed on our Pricing page. We reserve the right to change prices at any time, with changes taking effect immediately for new transactions.

Free Uses: Registered accounts receive 3 free processing uses upon registration. Free uses are subject to a file size limit of 3 MB per file. Free uses do not carry over, expire, or transfer between accounts.

Pro Subscriptions: Pro plans are billed monthly and provide unlimited processing for files up to 50 MB. Subscriptions renew automatically unless cancelled before the renewal date.

Refunds: All sales are final. We do not provide refunds for completed processing jobs, including cases where the output does not meet your expectations. If you believe a technical error on our part caused the failure, please contact us at sales@romow.com within 48 hours and we will review your case.

Chargebacks: Initiating an unjustified chargeback may result in immediate account suspension.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, ROMOW EXPRESSLY DISCLAIMS ALL WARRANTIES, INCLUDING BUT NOT LIMITED TO:

  • WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT
  • WARRANTIES THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF VIRUSES
  • WARRANTIES REGARDING THE ACCURACY, COMPLETENESS, OR RELIABILITY OF ANY OUTPUT
  • WARRANTIES THAT THE SERVICE WILL MEET YOUR SPECIFIC REQUIREMENTS

You use the Service entirely at your own risk. Romow does not warrant that any redaction, watermark removal, or other processing will be complete or legally sufficient for regulatory or compliance purposes.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL ROMOW, ITS OPERATORS, DIRECTORS, EMPLOYEES, AGENTS, OR LICENSORS BE LIABLE FOR ANY:

  • INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES
  • LOSS OF PROFITS, REVENUE, DATA, BUSINESS, OR GOODWILL
  • DAMAGES ARISING FROM UNAUTHORISED ACCESS TO OR ALTERATION OF YOUR FILES
  • DAMAGES ARISING FROM YOUR RELIANCE ON THE OUTPUT OF THE SERVICE

In jurisdictions that do not allow the exclusion of certain warranties or limitation of liability, our liability shall be limited to the maximum extent permitted by law. In all cases, our total cumulative liability to you for any claim arising from your use of the Service shall not exceed the amount you paid to Romow in the 30 days preceding the event giving rise to the claim, or USD $10, whichever is greater.

11. Indemnification

You agree to indemnify, defend, and hold harmless Romow and its operators, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including legal fees) arising out of or in connection with:

  • Your use of the Service or violation of these Terms
  • Your uploaded content or any documents you process through the Service
  • Your violation of any applicable law or third-party rights

12. Termination

We may suspend or terminate your access to the Service at any time, with or without cause, and with or without notice. Grounds for termination include, but are not limited to, violation of these Terms, fraudulent activity, or repeated abuse of the free use allowance.

You may terminate your account at any time by contacting us at sales@romow.com. Upon termination, any stored account data will be deleted within 30 days, subject to our legal obligations to retain certain records.

13. Changes to These Terms

We reserve the right to update these Terms at any time. When we make material changes, we will update the "Last updated" date at the top of this page. We encourage you to review these Terms periodically. Continued use of the Service after any changes constitutes your acceptance of the new Terms.

14. Governing Law

These Terms shall be governed by and construed in accordance with applicable laws, without regard to conflict of law principles. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the competent courts of the jurisdiction in which Romow operates.
