1. Overview

This Privacy Policy explains how Romow, operated at www.romow.com, collects, uses, and protects information when you use our PDF processing tools.

2. Data We Collect

Account data: Name, email address, hashed password, account creation date, subscription status.

Payment data: We use Stripe and PayPal. We only receive a transaction ID and status — never your card numbers.

Usage data: Pages visited, tools used, file sizes (not file content), browser type, IP address.

Communications: If you contact us, we retain your name, email, and message to respond.

3. How We Use Your Data

  • To provide and improve the PDF processing service
  • To manage your account and subscription
  • To process payments via Stripe and PayPal
  • To respond to support requests
  • To send transactional emails (receipts, download links)
  • To detect fraud and ensure platform security

We do not use your data for advertising or sell it to third parties.

4. Your PDF Files

Key commitment: Your PDF files are automatically and permanently deleted within 24 hours. We never read, share, or use your file content for any purpose other than processing.

Files are stored in an isolated, access-controlled environment. No Romow employee reads your file content. Output files are available only via a unique, time-limited token URL.

5. Cookies

  • Essential cookies: Required for login sessions and security. Cannot be disabled.
  • Analytics cookies: Aggregate, anonymised usage data. You can opt out via the cookie banner.
  • Marketing cookies: We do not currently use marketing cookies.

6. Data Sharing

We share data only with trusted service providers under strict agreements: Stripe (payments), PayPal (payments), cloud hosting providers, and email service providers. We never sell your data.

7. Your GDPR Rights (EU/EEA/UK)

  • Access: Request a copy of your personal data
  • Rectification: Ask us to correct inaccurate data
  • Erasure: Ask us to delete your data ("right to be forgotten")
  • Portability: Receive your data in a machine-readable format
  • Object: Object to processing based on legitimate interests

8. Your CCPA Rights (California residents)

  • Right to know: Request disclosure of personal information collected
  • Right to delete: Request deletion of your personal information
  • Right to correct: Request correction of inaccurate information
  • Right to opt-out: We do not sell or share personal information

9. Data Retention

  • Uploaded PDF files: deleted within 24 hours
  • Account data: retained while account is active; deleted within 30 days of deletion request
  • Payment records: retained for 7 years (financial regulations)
  • Contact messages: retained up to 2 years

10. Children's Privacy

Romow is not directed at children under 13 (or 16 in the EU). We do not knowingly collect data from children. Contact privacy@romow.com if you believe a child has submitted data.

11. Security

We use HTTPS encryption, isolated processing environments, and access controls to protect your data. If you believe your account is compromised, contact support@romow.com immediately.

12. Changes to This Policy

We may update this policy and will update the date above. Material changes will be emailed to registered users. Continued use after changes constitutes acceptance.
